Information for Speakers

Firstly, thank you again for being willing to share your work with our conference attendees! We are very excited to host you and learn about your projects and research. Here is some information to help you set yourself up for success at the conference. Additional conference details will be emailed to you over the next month and then added to the website here. Please bookmark this space for future reference. 


Dates to Note - Presenter Tasks & Important Dates

To help you stay organized, I have outlined some key dates below. Although I will send task reminders to all of you, I encourage you to also note these program dates in your preferred calendar system.

Friday, August 11th

Hotel group booking deadline

We have secured group rates for the conference with two local hotels. More information is available here: https://macmaq.aqrc.ucdavis.edu/hotels 

Tuesday, August 15th POSTERS ONLY: Deadline to confirm your lightning talk - shared in parallel to your poster display Poster presenters have the option to present a one-minute lightning talk to provide an overview of their poster. Lighting talks must be confirmed by August 15th at the very latest.

Wednesday, August 16th

Print Program Deadline

Final Due Date for information to be updated or changed for the printed program. If you need to make updates to your abstract title before the program goes to print, please email oschlanger@ucdavis.edu or AQRC Event Staff at airqualityevents@ucdavis.edu before August 16th, 2023.

Week of August 21st

Virtual Platform trainings

Once you are invited to the virtual platform, I will host a series of short trainings or tutorials to ensure each speaker is comfortable using the virtual event platform and the Q&A system slido

PowerPoint Presentations Due

PPT slides should be uploaded to dropbox and shared with the conference organizers by no later than September 5th. 

Friday, September 8th

Consent to Record Form Due

All speakers must sign and return this ‘Consent to Record’ form.

Tuesday, September 12th

Pre-Conference Early Career Networking Happy Hour

Taking place in downtown Davis at 7pm before the conference. We welcome senior / established researchers to attend as well to offer advice, connections and guidance to the EC folks.

Presentation Uploads

Speakers should upload a their presentation to the folders below for use at the conference.

Poster Presentation Information

Poster Display Specifications: Posters will be tacked to a large poster board on-site. They will be displayed through the lobby for the full duration of the conference to allow for viewing and discussion. 

  1. Display must be no larger than 4ft x 4ft.
  2. Must be original information
  3. Should include your contact information. If you are a student or early career job seeker, we recommend setting up a QR code to link to your CV. The QR code can be displayed on or next to your poster.
  4. Printing: If you do not wish to travel with your poster, Fed Ex Davis can print for you. They can be emailed at: usa5112@fedex.com

Lightning Talk Information

The lighting talks should be no longer than 1-minute in length. We will have a timer clock on stage to help you track time. There will be three groups of presentations on Wednesday at 11:25 a.m., 2:10 p.m. and 4:30 p.m.. The presentations will occur on-stage with 1-2 slides as an opportunity to draw attention to the research and encourage participants to visit the poster displays. 

Registration

All speakers have been provided with a promo code to register for the conference at a discounted rate. Please refer to your acceptance email to retrieve the promo code. Should you require any assistance or have any questions, please do not hesitate to contact us.

Session Structure 

Your session will begin with a welcome from your session chairs (cc’d here). They will introduce the session and each speaker before their respective presentations. Presentations will take place back-to-back. Following the final presentation, there will be a group Q&A session, facilitated by the session chairs.

Please note that you will have an allotted time to present during your session. As you continue planning for your presentation, we ask that you be mindful of your allotted time to keep the program on-time and to be fair to the other speakers.

Speaker Durations:

  • Invited Speakers: 17 minute presentation (excluding Q&A)
  • Applied Speakers: 12 minute presentation (excluding Q&A)
